When you make a booking with Copsbridge Farm Ponies Ltd trading as Mother Natures Village, we enter into an agreement based on the following booking conditions, as well as other information contained within our online Parent Information and FAQs. It’s important that we have a clear understanding of expectations on both sides. If anything falls short, we will work hard to make it right. 1. PAYMENT TERMS AND BOOKING CONFIRMATION
1.1 The agreement commences once payment (in full or in part) is made. It applies to the person making the booking, who is also responsible for ensuring others understand these terms. Bookings made online, via phone or email will be confirmed by email.
1.2 Check your confirmation for accuracy and notify us within 48 hours if anything is incorrect. The 14-day cooling-off period does not apply as you are booking dated services.
1.3 We accept payment via major debit/credit cards.
2. PRICING, DISCOUNTS & OFFERS
2.1 Prices are dynamic and may vary based on availability. Early booking often secures lower prices.
2.2 Promotions are offered throughout the year, but we cannot retrospectively apply discounts or refund price differences.
2.3 Discount codes must be used at the time of booking.
2.4 We reserve the right to increase prices if VAT increases above 20%.
3. BOOKING AMENDMENTS AND CANCELLATIONS
3.1 Bookings are non-refundable once made.
3.2 If we have capacity, we will move bookings to another date if we receive 36 hours notice prior to a booking commencement.
5. PROGRAMME & ACTIVITY CHANGES
5.1 Activities vary daily. We cannot guarantee specific activities on specific days.
5.2 Itineraries and programmes may be altered due to weather or operational factors.
5.3 Specialist activities and transport may be withdrawn if minimum numbers are not met.
5.4 Material changes will be communicated and options provided: accept, reschedule, or cancel.

5.6 Animals can be unpredictable. We vet all of our animals and we hold the correct licensing and risk assessments. We train all of our animals and staff and we do not accept responsibility for any accidental injuries sustained during the handling of animals. You accept this upon booking.
6. YOUR RESPONSIBILITIES
6.1 Children must be aged five upwards, in good health and reasonably fit.
6.2 All child information must be completed before attendance. Incomplete forms may result in exclusion.
6.3 Children must behave respectfully and follow staff instructions.
6.4 Children must be fully toilet trained before attending.
6.5 Notify us of any contagious illness contact within 4 weeks of attendance.
6.6 We reserve the right to cancel or exclude a child for disruptive or unsafe behaviour. You are responsible for immediate collection and any related costs.
6.7 You must disclose any medical, behavioural, or special needs in advance. We may cancel bookings if needs cannot be safely supported. Full refunds will be issued in these cases.
6.8 EHCPs or special needs must be declared at booking and agreed that we are confident that we can support the child.
6.9 We may cancel bookings if critical information is not disclosed.
6.10 Late collections (after 4pm) incur a £5 charge per child per 5 minutes. Persistent late collection may result in exclusion.
6.11 Early drop offs can be arranged from 08:30 for an additional £10 per child. These must be agreed in writing 48 hours prior to camps beginning.
7. COMPLAINTS
Please report concerns directly to the Camp Manager during your child’s stay. Unresolved issues must be submitted in writing within 28 days of your child’s last day.
8. LIABILITY
8.1 Liability for delays or failure to perform is limited to the cost of replacing services.
8.2 Liability for other issues is limited to twice the price paid.
8.3 We are not liable for indirect or consequential loss (e.g. loss of profit).
8.4 All implied warranties and conditions are excluded as permitted by law.
8.5 You agree to indemnify us for any loss caused by your or your child’s negligence.
9. PERSONAL PROPERTY
9.1 Protect personal belongings. We are not responsible for loss or damage unless due to our negligence.
9.2 Valuables should not be brought to camp. Mobile phones must remain in bags at all times.
10. FORCE MAJEURE
We are not liable for failure to deliver services due to events beyond our control (e.g. weather, pandemics, industrial action).
11. PHOTOGRAPHY & MARKETING
11.1 We may use photos for marketing. If you do not want your child featured, please let us know via your parent account.
11.2 Misuse of images taken at camp is prohibited and may result in exclusion.
12. DATA PROTECTION
We securely handle and share data only for booking purposes. For photo usage, see section 11.
